An automation runs a set of steps for each person who triggers it: a welcome email, a wait, a tag, a nudge to your team, or a call to your app. Set it up once and it keeps working.
Steps
- Open Your OS › Automations and choose New automation. You can Start from a recipe, or use Describe it to get a draft from a sentence.
- Give it an Automation name.
- Set the Trigger (What starts it): someone submits a form, is tagged, becomes a certain stage, or buys a product.
- Choose Can someone go through it more than once?: Once only, or Again, after finishing.
- Tap + (Add a step here) to add steps:
- Email: subject, preview text, heading, message and an optional button.
- Wait: minutes, hours or days, up to 90 days.
- If / else: people go down Yes when all match or any match of your conditions, and everyone else goes down No.
- Add or remove a tag, or Move them to a stage.
- An alert emailed to the owner and admins.
- A webhook that posts JSON to your Address, signed with a Signing secret.
- An end step, where the person leaves the automation.
- Choose Switch on. It starts with the next person who qualifies.
Changing a live automation
When you edit an automation that's on, you're editing a copy. The live version keeps running until you choose Publish changes. People already in it finish on the version they started. Choose Discard changes to throw the copy away.
Tips
- Use Run history to see each person's progress, with done, waiting, skipped and failed steps.
- Pause keeps people where they are until you switch it back on.
- Emails from automations only go to subscribed people and count towards your monthly emails.
Troubleshooting
- Nobody is in it: an automation starts from the moment it's switched on. People who qualified earlier aren't added.
- Can't switch it on: check Before it can be switched on for missing details. Only owners and admins can switch automations on.
- "More steps than now allowed": it keeps running, but to publish changes you need to bring it within the step limit for your plan.
