Calendar links and reminders for guests

Help guests add your event to their calendar and send automatic reminders before it starts.

Guests can add your event to their calendar from the event page and from their confirmation email. Weesify can also send reminders before the event so fewer people forget.

Steps

  1. Calendar links are on automatically. Your event page shows Add to calendar with Google Calendar and Apple / Outlook (.ics). For repeating events, guests can Add every date to your calendar.
  2. The Confirmation & ticket email is sent right after registering, with every ticket's QR code, a calendar file and the receipt.
  3. To set up reminders while creating an event, use the Communication step. By default it includes Reminder · 1 day before and Reminder · 1 hour before.
  4. To change reminders later, open your event and choose Messages in the event menu.
  5. Under Reminders, choose Add a reminder and set how long Before the event it goes out. Use Remove reminder to delete one.
  6. Turn on Also text the first reminder to attendees who gave a phone number if you want an SMS too.
  7. For events with sessions, set Session reminders in minutes before each session.
  8. Check Scheduled messages to see what's coming up next.

Tips

  • Reminders set in days keep the local time: "1 day before" a 10:00 start goes out at 10:00 the day before, even when the clocks change. Reminders set in hours are exact.
  • Use A note in the confirmation to tell guests what to bring or where to meet.
  • Change alerts tell attendees when you move the time or place.

Troubleshooting

  • "Reminders are off, or every date has started": turn reminders on, or check that the event's dates are still in the future.
  • A guest didn't get a reminder: check the address on their registration, and ask them to look in spam.
